These Custom Order Terms apply to custom, made-to-order, personalized, commissioned, quoted, limited-run, design-assisted, or specially produced products and services purchased from or requested through Albie’s Art.

By submitting a custom quote request, approving a design proof, paying a deposit, paying an invoice, placing a custom order, uploading artwork, or otherwise asking Albie’s Art to begin custom work, you agree to these Custom Order Terms, our Terms & Conditions, Privacy Policy, Shipping Policy, Returns & Refunds Policy, Artwork & Intellectual Property Policy, and any written quote, invoice, message, or order-specific agreement connected to your project.

If you do not agree with these Custom Order Terms, please do not submit a custom order request or approve production.

1. What Counts as a Custom Order

A custom order may include, but is not limited to:

  • Custom challenge coins

  • Military, veteran, first responder, law enforcement, corporate, club, event, memorial, tribute, collector, gift, or presentation coins

  • Custom coin artwork

  • Coin front and back design layouts

  • Custom text, names, dates, unit names, event names, organization names, slogans, or inscriptions

  • Custom enamel color layouts

  • Antique gold, antique silver, antique brass, matte black, polished, dual-finish, or other finish selections

  • Packaging upgrades

  • Certificates of Authenticity

  • Retail hanging packaging

  • Clear plastic pouches

  • Velvet-lined display boxes

  • Suspended frame displays

  • Custom display items

  • Custom props or cosplay-related pieces

  • Personalized creative collectibles

  • Special edition or limited-run products

  • Design mockups, proofs, production files, and concept work

  • Any product or service created specifically for a customer’s request

A product may still be considered custom even if it is based on an existing product, template, previous design, or sample image.

2. Quote Requests Are Not Final Orders

Submitting a custom quote request does not guarantee that Albie’s Art will accept the project.

A quote request is only a request for review. Albie’s Art may accept, decline, revise, or request more information before providing a quote.

A custom order is not considered accepted until Albie’s Art confirms acceptance and any required payment, deposit, artwork, project details, and approvals have been received.

We may decline a custom order for any reason, including but not limited to:

  • Incomplete project details

  • Insufficient artwork or references

  • Unrealistic deadline

  • Project outside our capabilities

  • Production limits

  • Supplier or manufacturing limits

  • Concerns about intellectual property rights

  • Offensive, hateful, unlawful, misleading, or inappropriate content

  • Payment issues

  • Customer conduct concerns

  • Any business reason at our discretion

3. Customer Information Required

To prepare an accurate quote or begin a custom order, we may ask for:

  • Name

  • Email address

  • Phone number

  • Shipping address

  • Organization, unit, company, club, department, or group name

  • Project purpose

  • Quantity requested

  • Desired size

  • Desired finish

  • Desired colors

  • Front design details

  • Back design details

  • Text, names, dates, mottos, or inscriptions

  • Deadline or event date

  • Packaging preference

  • Budget range

  • Uploaded logo, sketch, badge, patch, photo, or reference image

  • Notes about the story, meaning, or purpose of the coin

  • Any special requirements

Customers are responsible for providing accurate, complete, and timely information.

Delays in providing information may delay the quote, proof, production, or delivery timeline.

4. Quotes, Estimates, & Pricing

Custom quotes are based on the information available at the time of quoting.

Pricing may depend on:

  • Quantity

  • Coin size

  • Coin thickness

  • Metal finish

  • Number of colors

  • One-sided or two-sided design

  • Shape complexity

  • Edge style

  • 2D or 3D relief

  • Mold or setup requirements

  • Artwork complexity

  • Number of revisions

  • Packaging selection

  • Certificate of Authenticity options

  • Display box or frame options

  • Shipping destination

  • Rush requirements

  • Supplier or production costs

  • Taxes, duties, or other charges

A quote may change if the project changes.

Changes that may affect price include:

  • Increasing or decreasing quantity

  • Changing size

  • Adding colors

  • Adding 3D relief

  • Adding packaging

  • Adding a second side

  • Changing finish

  • Requesting additional revisions

  • Replacing artwork

  • Changing deadline

  • Requesting rush production

  • Adding custom display materials

  • Changing shipping method or destination

Unless stated otherwise, quotes are valid for 90 days from the date issued. After that time, pricing and availability may change.

5. Deposits & Payments

Custom orders may require a deposit, partial payment, milestone payment, or full payment before work begins.

Payment requirements will be stated in the quote, invoice, product listing, or written communication.

Unless otherwise stated in writing:

  • Design work may not begin until the required deposit or payment is received.

  • Production may not begin until the final proof is approved and required payment is received.

  • Final balance must be paid before shipping or delivery.

  • Deposits may become non-refundable once design work, proofing, material ordering, production coordination, or production has begun.

If payment fails, is reversed, disputed, charged back, or delayed, Albie’s Art may pause or cancel the project.

6. Design Work & Creative Direction

Albie’s Art may assist with custom concept development, design layout, visual direction, coin artwork, typography, color suggestions, packaging suggestions, or production-ready presentation.

Customers may provide reference images, sketches, logos, patches, badges, seals, photographs, written ideas, or design instructions.

Albie’s Art may interpret customer ideas creatively. The final design may not be an exact copy of a reference image, sketch, AI image, photo, patch, badge, or previous product.

Design work may be limited by:

  • Coin size

  • Coin shape

  • Metal relief

  • Mold production limits

  • Enamel color limits

  • Minimum line thickness

  • Text readability

  • Manufacturing tolerance

  • Material selection

  • Finish selection

  • Packaging constraints

  • Legal or intellectual property concerns

We may suggest changes to improve readability, production quality, durability, or visual impact.

7. Proofs, Mock-Ups, & Digital Previews

For custom orders, Albie’s Art may provide one or more digital previews, mock-ups, artwork layouts, design proofs, or production proofs.

Proofs are used to confirm the design direction before production.

Proofs may show:

  • Front design

  • Back design

  • Approximate colors

  • Approximate finish

  • Text placement

  • Design layout

  • Shape

  • Size

  • Packaging concept

  • Certificate of Authenticity concept

  • Display presentation

Digital proofs are visual estimates. Final physical products may vary slightly due to material, lighting, screen settings, enamel, plating, production methods, and manufacturing tolerances.

8. Customer Proof Approval Responsibillity

The customer is responsible for carefully reviewing all proofs before approval.

Before approving a proof, check:

  • Spelling

  • Names

  • Dates

  • Unit names

  • Company names

  • Department names

  • Organization names

  • Rank, title, or role

  • Mottos and slogans

  • Phone numbers, website URLs, or QR codes

  • Logos and emblems

  • Badge or seal details

  • Front artwork

  • Back artwork

  • Color placement

  • Finish selection

  • Coin size

  • Coin shape

  • Quantity

  • Packaging option

  • Certificate of Authenticity wording

  • Any special instructions

Approval means the customer accepts the proof and authorizes Albie’s Art to proceed.

Once a proof is approved, changes may not be possible.

If changes are possible after approval, they may require additional fees and may delay the project.

Albie’s Art is not responsible for errors that were present in a customer-approved proof.

9. Written Approval Required

Production will not begin until Albie’s Art receives written approval from the customer.

Written approval may be given by:

  • Email

  • Website message

  • Quote system response

  • Invoice response

  • Text message

  • Form submission

  • Other written communication accepted by Albie’s Art

Examples of written approval include:

  • “Approved”

  • “Approved for production”

  • “Looks good”

  • “Proceed”

  • “Yes, start production”

  • “I approve this proof”

Once written approval is received, the order may move into production and may become non-cancelable and non-refundable.

10. Revisions

A custom quote may include a specific number of revisions.

If the quote does not state a revision count, revisions are provided at Albie’s Art’s discretion.

A revision is a reasonable adjustment to the existing design direction, such as:

  • Changing text

  • Adjusting placement

  • Changing a color

  • Adjusting scale

  • Minor layout changes

  • Minor artwork corrections

A revision may not include:

  • Starting over with a completely new concept

  • Changing the entire theme

  • Replacing all artwork

  • Changing the coin purpose

  • Changing from one product type to another

  • Creating multiple unrelated design options

  • Extensive redrawing beyond the original scope

  • Major changes after proof approval

Additional revisions may require additional fees.

11. Customer Delays

Customer delays may affect the timeline.

Examples include:

  • Late responses

  • Missing artwork

  • Delayed payment

  • Unclear instructions

  • Multiple decision makers

  • Delayed proof approval

  • Changing requirements

  • Failure to provide shipping information

  • Failure to approve final details

If a customer does not respond for 10 days, Albie’s Art may pause, archive, or cancel the project.

Deposits or payments may not be refundable if work has already begun.

12. Production Timeline

Production timelines vary by project.

The estimated timeline may depend on:

  • Design complexity

  • Number of revisions

  • Proof approval timing

  • Quantity

  • Product type

  • Material availability

  • Manufacturer schedule

  • Packaging selection

  • Shipping method

  • Customs or import timing

  • Holiday schedules

  • Rush availability

  • Carrier performance

Any timeline provided before proof approval is an estimate only.

Production time usually begins after:

  • Required payment is received

  • Required artwork and information are received

  • Final proof is approved in writing

  • Albie’s Art confirms the project is ready for production

Shipping time is separate from production time.

13. Rush Orders

Rush service may be available at Albie’s Art’s discretion.

Rush fees may apply.

Rush requests are not guaranteed unless confirmed in writing.

A rush deadline may be affected by:

  • Customer response time

  • Proof approval timing

  • Artwork quality

  • Production availability

  • Shipping carrier performance

  • Weather

  • Customs

  • Supplier delays

  • Force majeure events

Albie’s Art is not responsible for missed rush deadlines caused by customer delays, carrier delays, supplier delays, customs delays, or events outside our control.

14. Manufacturing & Production Variations

Custom products may have minor variations.

These may include:

  • Slight color differences

  • Slight finish differences

  • Minor plating variation

  • Minor enamel variation

  • Slight size or weight variation

  • Small alignment differences

  • Small surface marks

  • Minor texture differences

  • Slight edge differences

  • Small mold or casting differences

  • Minor packaging variation

  • Differences between digital proofs and finished products

These normal production variations are not considered defects.

Color shown on a screen may not exactly match physical enamel, metal, print, or packaging color.

15. Materials & Finishes

Custom products may use various materials or finishes depending on the project.

Possible options may include:

  • Antique gold

  • Antique silver

  • Antique brass

  • Matte black

  • Polished metal

  • Dual finish

  • Enamel-style color fill

  • Raised metal detail

  • Recessed detail

  • 2D relief

  • 3D relief

  • Plastic packaging

  • Display box materials

  • Clear pouch materials

  • Suspended frame materials

  • Certificate paper or card stock

Actual material availability may vary.

Albie’s Art may recommend substitutions when a selected option is unavailable or unsuitable.

16. Packaging Options

Packaging may be available depending on the product and order.

Packaging options may include:

  • Standard protective packaging

  • Clear plastic pouch

  • Plastic hanging retail container

  • Velvet-lined display box

  • Suspended frame display

  • Certificate of Authenticity

  • Display card

  • Gift-ready presentation

  • Other custom packaging

Packaging options may affect pricing, shipping cost, production time, and availability.

Packaging shown in photos, mockups, or examples may be for demonstration only unless specifically included in the quote or product listing.

17. Certificates of Authenticity

Some custom products may include a Certificate of Authenticity if included in the quote, product description, or order agreement.

A Certificate of Authenticity may include:

  • Product name

  • Edition number

  • Limited-run quantity

  • Date

  • Artist or studio name

  • Design description

  • Signature or printed authentication

  • Material or finish information

A Certificate of Authenticity does not guarantee resale value, future market value, investment value, appreciation, or collector demand.

18. Limited Edition & Numbered Custom Orders

If a product is described as limited edition or numbered, the stated quantity refers to the production run or planned release quantity identified by Albie’s Art.

Albie’s Art may create artist proofs, samples, prototypes, replacements, archive copies, promotional copies, or production tests unless otherwise stated in writing.

Numbering style, placement, and format may vary.

19. Cancellations Before Work Begins

A custom order may be canceled before design work, proofing, material ordering, production coordination, or production begins.

If no work has begun, a refund may be available, minus any payment processing fees or non-recoverable costs, where permitted by law.

Cancellation requests must be submitted in writing.

20. Cancellations After Work Begins

Once design work, proofing, material ordering, production coordination, or production begins, cancellation may not be available.

If cancellation is approved after work has begun, Albie’s Art may retain amounts for:

  • Design time

  • Administrative time

  • Proof preparation

  • Mockup creation

  • Artwork preparation

  • Supplier fees

  • Manufacturing setup

  • Materials

  • Packaging

  • Payment processing fees

  • Non-recoverable costs

  • Other expenses already incurred

Deposits may be non-refundable after work begins.

21. Cancellations After Proof Approval

After written proof approval, the order may enter production.

Once an order enters production, it is generally non-cancelable and non-refundable.

If production has begun, changes, cancellations, or refunds may not be possible.

22. Returns & Refunds for Custom Orders

Custom, personalized, made-to-order, approved-proof, limited-run, special-order, or customer-specific products are generally not eligible for return or refund unless they arrive damaged, defective, or materially different from the approved order.

Refunds are generally not available for:

  • Customer-approved spelling errors

  • Customer-approved date errors

  • Customer-approved logo errors

  • Customer-approved layout choices

  • Customer-approved design choices

  • Change of mind

  • Customer ordering the wrong quantity

  • Customer choosing the wrong size

  • Customer providing incorrect information

  • Customer delays

  • Minor production variation

  • Color differences caused by screen settings

  • Failure to read the proof

  • Failure to read product details

  • Delays outside Albie’s Art’s control

  • Subjective dissatisfaction after approval

Damaged, incorrect, or defective custom orders will be handled according to the Returns & Refunds Policy.

23. Damaged, Incorrect, or Defective Custom Orders

If a custom order arrives damaged, incorrect, or defective, contact Albie’s Art promptly.

Please provide:

  • Name

  • Order number

  • Delivery date

  • Photos of the product

  • Photos of the packaging

  • Description of the issue

Do not discard packaging until the claim is reviewed.

Depending on the issue, Albie’s Art may offer:

  • Replacement

  • Repair

  • Partial refund

  • Full refund

  • Store credit

  • Reproduction

  • Other reasonable resolution

Resolution depends on the facts of the order, the approved proof, product condition, carrier claim requirements, and applicable law.

24. Shipping for Custom Orders

Custom order shipping may occur only after:

  • Production is complete

  • Final balance is paid

  • Shipping address is confirmed

  • Packaging is complete

Customers are responsible for providing a complete and accurate shipping address.

Albie’s Art is not responsible for delays or failed delivery caused by incorrect addresses, missing apartment numbers, forwarding issues, unavailable recipients, customs delays, carrier delays, or customer failure to retrieve a package.

Shipping timelines are estimates unless specifically guaranteed in writing.

25. Customer-Submitted Artwork & Permission

When submitting artwork, logos, emblems, patches, seals, badges, photographs, sketches, reference images, copyrighted material, trademarks, slogans, names, or other content, the customer confirms that they have the right to use that material.

The customer represents and warrants that submitted materials:

  • Are owned by the customer, or

  • Are properly licensed, or

  • Are authorized for the customer’s requested use, and

  • Do not infringe any copyright, trademark, design right, publicity right, privacy right, contractual right, government restriction, or other third-party right.

The customer is responsible for obtaining permission for any protected or third-party material.

Albie’s Art is not responsible for verifying ownership, licensing, trademark clearance, copyright clearance, military insignia clearance, agency seal clearance, entertainment property clearance, or organizational approval for customer-provided materials.

26. Third-Party Logos, Seals, Badges, Characters, & Trademarks

Custom projects may involve customer-provided references to organizations, units, departments, companies, fandoms, characters, entertainment properties, public service marks, military-style marks, seals, badges, or trademarks.

Unless specifically stated in writing, Albie’s Art is not affiliated with, endorsed by, sponsored by, licensed by, or approved by any third-party rights holder, organization, government agency, military branch, company, entertainment studio, brand, or trademark owner.

Albie’s Art may decline or cancel any project that appears to involve unauthorized use of protected third-party material.

The customer is responsible for all permissions and approvals.

27. Indemnification for Customer-Provided Materials

The customer agrees to defend, indemnify, and hold harmless Albie’s Art, its owner, employees, contractors, suppliers, manufacturers, service providers, and affiliates from any claim, dispute, damage, loss, cost, expense, or attorney’s fee arising from:

  • Customer-submitted artwork

  • Customer-submitted logos

  • Customer-submitted trademarks

  • Customer-submitted copyrighted material

  • Customer-submitted badges, seals, patches, or emblems

  • Customer-requested wording

  • Customer-requested designs

  • Alleged infringement

  • Lack of permission

  • Misuse of a third-party mark

  • Violation of privacy or publicity rights

  • Violation of laws or regulations

  • False information provided by the customer

28. Ownership of Albie's Art Design Work

Unless otherwise agreed in writing, Albie’s Art retains ownership of:

  • Original artwork created by Albie’s Art

  • Design concepts

  • Sketches

  • Mockups

  • Digital previews

  • Production layouts

  • Source files

  • Editable files

  • Vector files

  • 3D files

  • Mold files

  • Manufacturer files

  • Templates

  • Product photography

  • Website images

  • Marketing images

  • Creative process files

  • Design methods and workflows

Purchasing a custom product does not automatically transfer ownership of editable files, source files, production files, molds, manufacturing files, or design rights.

29. Customer Use of Finished Custom Products

After full payment, the customer may use the finished physical products for the agreed personal, organizational, gift, recognition, event, internal, display, or collectible purpose.

The customer may not reproduce, resell, manufacture, copy, modify, or distribute Albie’s Art design files or artwork unless specifically agreed in writing.

If commercial resale rights, exclusive rights, source files, or reproduction rights are desired, those rights must be negotiated in writing and may require additional fees.

30. Portfolio & Promotional Use

Unless otherwise agreed in writing before work begins, Albie’s Art may photograph, display, publish, or share completed custom work, mockups, production samples, product photos, packaging photos, and finished pieces for portfolio, social media, advertising, website, product display, educational, and promotional purposes.

If a project is confidential, private, sensitive, or not meant for public display, the customer must notify Albie’s Art in writing before work begins.

Albie’s Art may agree to keep a project private, delay public posting, or limit public display at its discretion.

31. Confidential Projects

Customers may request confidentiality for certain custom projects.

Confidentiality requests must be made in writing before design work begins.

If accepted, Albie’s Art may agree not to publicly post or identify the project.

Confidentiality does not prevent Albie’s Art from sharing necessary information with suppliers, manufacturers, shipping carriers, payment processors, legal advisors, accountants, or other service providers needed to complete the order.

32. Samples, Prototypes, & Artist Proofs

For some projects, samples, prototypes, artist proofs, test pieces, or production proofs may be created.

Unless specifically included in the quote, samples or prototypes may require additional cost.

Samples and prototypes may differ from final production items.

Albie’s Art may retain archive samples, production samples, test pieces, or artist proofs unless otherwise agreed in writing.

33. Minimum Order Quantities

Some custom products may require a minimum order quantity.

Minimums may depend on:

  • Product type

  • Manufacturer requirements

  • Mold or setup cost

  • Material availability

  • Packaging type

  • Design complexity

  • Production method

Minimum quantities will be stated where applicable.

34. Overruns & Underruns

Manufacturing may occasionally result in slight quantity variations.

If overruns or underruns are possible for a specific production method, Albie’s Art will make reasonable efforts to communicate this.

For most small custom orders, Albie’s Art will attempt to deliver the ordered quantity, but replacement or adjustment options may depend on production circumstances.

35. Customer Approval with Multiple Decision Makers

If a project involves multiple decision makers, the customer is responsible for choosing one authorized representative to approve proofs, revisions, payments, and final production.

Albie’s Art may rely on approval from the person who submitted the order, paid the invoice, or is identified as the project contact.

Disagreements between customer-side decision makers do not create responsibility for Albie’s Art after approval has been given.

36. Communication

Project communication may occur by email, website form, phone, text, invoice message, social media message, or other written method accepted by Albie’s Art.

For clarity and proof approval, important decisions should be confirmed in writing.

Albie’s Art is not responsible for missed messages caused by spam filters, incorrect contact information, inactive accounts, full inboxes, platform errors, or customer failure to monitor messages.

37. Accuracy of Customer Information

The customer is responsible for ensuring that all information provided is accurate.

This includes:

  • Contact information

  • Shipping address

  • Billing information

  • Quantity

  • Project details

  • Wording

  • Dates

  • Names

  • Logos

  • Artwork

  • Approval authority

  • Deadline

  • Packaging selection

Errors caused by inaccurate customer information are the customer’s responsibility.

38. Refusal of Service

Albie’s Art may refuse, pause, or cancel a custom order if:

  • The project violates these Custom Order Terms

  • The customer provides false or misleading information

  • Payment is not received

  • The customer is abusive, threatening, harassing, or unreasonable

  • The project creates legal or intellectual property concerns

  • Required approvals are not provided

  • The project becomes impossible or impractical to complete

  • Supplier or production options become unavailable

  • The order creates safety, reputational, or business concerns

If an order is canceled by Albie’s Art after payment, any refund will depend on the stage of work and non-recoverable costs already incurred.

39. No Guarantee of Resale or Collectible Value

Custom coins, limited editions, display pieces, and collectibles are sold as creative products.

Albie’s Art does not guarantee:

  • Resale value

  • Investment value

  • Future appreciation

  • Market demand

  • Collector demand

  • Third-party grading results

  • Long-term rarity

  • Future availability

  • Public reaction

  • Social media performance

Any collectible value is subjective and may change over time.

40. Product Care

Customers are responsible for proper care of custom products.

To help preserve products:

  • Avoid harsh chemicals

  • Avoid moisture exposure when possible

  • Avoid dropping or bending

  • Avoid extreme heat

  • Store in protective packaging

  • Handle coins with clean hands or gloves

  • Keep display boxes and packaging away from direct sunlight when possible

Damage caused by misuse, improper storage, improper handling, unauthorized modification, or normal wear is not covered unless otherwise stated.

41. Limitation of Liability

To the fullest extent permitted by law, Albie’s Art’s total liability for any custom order shall not exceed the amount paid by the customer for the specific custom order giving rise to the claim.

Albie’s Art is not liable for indirect, incidental, special, consequential, punitive, or exemplary damages, including lost profits, lost sales, missed events, reputational harm, emotional distress, lost opportunity, or business interruption.

Some jurisdictions do not allow certain limitations of liability, so some limitations may not apply.

42. Force Majeure

Albie’s Art is not responsible for delays, nonperformance, loss, or failure caused by events beyond our reasonable control.

These may include:

  • Severe weather

  • Natural disasters

  • Fire

  • Flood

  • War

  • Civil unrest

  • Labor strikes

  • Supplier delays

  • Manufacturer delays

  • Material shortages

  • Carrier delays

  • Customs delays

  • Power outages

  • Internet outages

  • Platform outages

  • Payment processor issues

  • Government actions

  • Public health emergencies

  • Other events beyond our control

43. Relationship to Other Policies

These Custom Order Terms work together with the other policies on https://www.albiesart.com.

If there is a conflict between these Custom Order Terms and a specific written quote, invoice, or signed agreement, the written quote, invoice, or signed agreement may control for that specific project.

If there is a conflict between these Custom Order Terms and the general Terms & Conditions, these Custom Order Terms control for custom orders.

44. Changes to These Custom Order Terms

Albie’s Art may update these Custom Order Terms from time to time.

The updated Effective Date will be posted at the top of this page.

Changes apply to future quote requests and future custom orders unless otherwise required by law.
